Privacy policy

What personal information FSP4ED collects, why it is held, who can see it, and how long it is kept.

This page is illustrative. It should be reviewed by counsel against the applicable data protection law before publication.

1. What we collect

At registration: your name, national ID number, phone number, and physical or ward-level address. For dependants and beneficiaries: their names, relationship to you, and dates of birth. For claims: death certificates, identity documents, and any other document reasonably required to verify a claim.

From agents and coordinators: identity and area-assignment information needed to operate the scheme, and activity such as registrations completed and contributions collected.

2. Why we collect it

To register your membership, calculate your premium, verify and pay claims, generate receipts, and pay agent and coordinator commission accurately. We do not collect information beyond what a specific plan, claim, or role reasonably requires.

3. Who can see it

Access is role-gated: your registering agent and area coordinators can see your membership record; a claim is visible to the specific stages verifying and approving it; an independent auditor role can review records without being part of day-to-day operations. Staff outside those roles do not have standing access to your file.

4. How it's stored

Records are held in a secured system with permission checks on every access, not in open spreadsheets or shared folders. Uploaded documents — identity documents, death certificates, and similar — are stored under access controls and served only through an authenticated request, never as a public link.

5. Your choices

You can update your next-of-kin and beneficiary details at any time through your agent. You can request a copy of your own membership record, and request correction of inaccurate information, by contacting the national office.

6. Retention

Membership, contribution, and claims records are retained for as long as your policy is active and for a reasonable period after closure, to support any claim, audit, or legal requirement relating to that period.
